This Privacy Policy describes how Voxtome Interactive LLC ("Voxtome", "we", "us") collects, uses, and discloses personal information (called "personal data" under some laws) through the Voxtome creators portal (the "Portal"). It uses the bolded category names defined in Sections 3 and 4 throughout.
This is a summary only; the numbered Sections govern.
1.1 Voxtome Interactive LLC, an Oregon limited liability company, is the controller of the personal information described in this Policy. Our address and contact details are in Section 15.
1.2 This Policy covers the Voxtome creators portal — the service where authors and publishers manage their titles, legal documents, tax forms, and royalty reporting. Access to the Portal is by invitation.
1.3 This Policy does not cover the Voxtome mobile app or the voxtome.app website, which serve listeners and are governed by a separate privacy policy. If you also hold a listener account, that policy applies to it. The Portal signs you in through a separate account system from the app.
1.4 This Policy does not cover companies we do not control, including the providers named in Section 7, which handle the information they receive under their own privacy policies.
2.1 The Portal is for authors and publishers who have been invited to it. It is not directed to children, and we do not knowingly collect personal information from anyone under 18.
We use the category names in bold throughout the rest of this Policy.
| Category | What it is | When we get it |
|---|---|---|
| Account Data | Your name, your email address, and the identifier for your account. | When you accept an invitation and sign in. |
| Catalog Data | The book metadata you enter or import, such as title, description, ISBN, price, publication date, genres, distribution markets, whether the narration is AI-generated, cover art, and audio files. | When you add or edit a title, or import an ONIX file. |
| Contributor Data | The names, biographies, and photographs of the authors and narrators you add. | When you add or edit a contributor, or import an ONIX file. |
| Document Data | The documents you upload, the agreements we present to you for signature, and the signer name and signature captured when a document is signed. | When you upload a document, or when you sign a document we present to you. |
| Tax Form Data | The type of tax form, such as a W-9 or W-8; an identifier for the form request; whether it was signed and when; and the verification result returned to us. | When you complete a tax form. Your tax identification number is handled as described in Section 5. |
| Payment Data | The PayPal email address and payer ID we receive when you connect your PayPal account for payouts. | When you connect your PayPal account. |
| Support Data | Your email address and whatever you write in the message. | When you use the support form. |
| Category | What it is | Why it exists |
|---|---|---|
| Activity Data | A record of actions you take in the Portal — such as creating, editing, delisting, or relisting a title, adding or editing a contributor, uploading a document, importing an ONIX file, or opening an announcement in your inbox — with the time and the item affected. | Securing the Portal, supporting you, and keeping an account of changes. |
| Session Data | The session cookie that keeps you signed in. See Section 8. | Keeping you signed in. |
4.1 Performance reporting. The Portal shows you how your own titles perform — such as listening hours, an estimated payout, units sold, and revenue — as figures aggregated by title. You do not receive any individual listener's identity or records.
No tax identification numbers. Your Social Security number, employer identification number, or foreign tax identification number is entered directly into our tax provider's form and is never transmitted to or stored on our systems. We keep only the form type, an identifier, and the result described in Section 3.
No password. Sign-in is handled by Google Firebase, which holds your credentials. We never receive your password.
No PayPal login or bank details. When you connect PayPal, you sign in on PayPal's own site, so we never receive your PayPal password. We receive only the email address and payer ID needed to send you a payout — not your balance, bank account, or card numbers.
No advertising or tracking. We show no ads, use no advertising or analytics cookies, and do not track you across other companies' sites or apps.
No precise location. The Portal does not request or collect GPS or device location, and does not log your IP address or device against your account. The providers that host and deliver the Portal see connection information, such as IP addresses, as part of carrying your traffic.

7.2 Published and promoted. The book and contributor information you provide — such as author and narrator names, cover art, and descriptions — is displayed to listeners in the Voxtome app and website as part of your title's listing, and is used to market and promote your titles within the app.
7.3 Legal process and safety. We may disclose information where we believe in good faith that it is required by law, legal process, or a lawful request from a public authority, or that it is necessary to investigate a breach of our terms, to protect the rights, property, or safety of Voxtome, our users, or the public, or to establish, exercise, or defend legal claims.
7.4 Business transfers. If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction.
8.1 The Portal sets one cookie, CREATORS_SESSION, which keeps you signed in. It is HttpOnly, Secure, restricted to the Portal with SameSite=Strict, and expires after about five days. It is strictly necessary; the Portal does not work without it.
8.2 The Portal sets no advertising or analytics cookies. The sign-in, signature, and tax widgets provided by Google Firebase, SignWell, and TaxBandits run in your browser and are subject to those providers' own practices. Connecting your PayPal account sends you to PayPal's own website to sign in and return; PayPal handles that page, and any cookies it sets, under its own privacy policy.
When you add a contributor or upload a document, you provide personal information about other people, such as your authors and narrators. You are responsible for having the right to provide that information to us for the purposes in this Policy.
10.1 We keep the information associated with your account for as long as your account exists, except where a longer period applies under Section 10.2.
10.2 What we keep longer.
10.3 Deletion. The Portal does not offer self-service account deletion. To close your account or ask us to delete your information, email legal@voxtome.app. Closing your account removes your access to the Portal and deletes the information associated with your account, other than what Section 10.2 keeps and what we must keep to comply with law or to establish, exercise, or defend a legal claim. Information held by the providers in Section 7, and titles and contributors already published in the catalog, are not removed by closing your account; tell us what you want removed and we will tell you what we can do.
10.4 Information can persist in backups for a period after it is deleted from our live systems, and is overwritten on the ordinary backup cycle.
11.1 We are based in the United States and our servers are hosted there. Some of our providers operate globally, so your information may be processed outside your country.
11.2 If you are in the European Economic Area, the United Kingdom, or Switzerland, your information is transferred outside your country. Where a transfer needs a safeguard, we rely on the appropriate one, such as the European Commission's Standard Contractual Clauses. You can ask us about the safeguard for a transfer at legal@voxtome.app.
12.1 Depending on where you live, you may have the right to access the personal information we hold about you, to correct it, to delete it, to receive a copy of it, and to object to or restrict certain processing. We do not sell your personal information and do not use it for advertising, so there is no such activity for you to opt out of.
12.2 To exercise a right, email legal@voxtome.app from the address on your account. We verify you by matching your request against your account, and respond within the time your law allows. Section 10 explains what we keep and why.
12.3 EEA, UK, and Switzerland. Where this law applies to you, our legal bases for using your information are: performance of our contract with you — running your account and catalog, publishing and promoting your titles, handling your documents, and reporting and paying your royalties; compliance with our legal obligations — collecting tax forms and keeping records; and our legitimate interests — keeping the Portal secure, keeping a record of changes, and answering your requests. We do not rely on consent. You may lodge a complaint with your local data protection authority; Section 11 covers international transfers of your information.
13.1 Connections that carry your personal information are encrypted. Your sign-in credentials are held by Google Firebase and never reach us.
13.2 No system is perfectly secure, and we cannot guarantee the security of information transmitted to or from the Portal. You are responsible for keeping your credentials secure.
13.3 If a security breach affects your personal information and the law requires us to notify you, we will.
14.1 We may update this Policy. When we do, we will change the "Last updated" date above and post the new version in the Portal. If a change materially affects how we handle information we already hold about you, we will give you notice before it takes effect.
